Applicant privacy notice – Sempass Campus Coordinator roles

Last updated: October 9, 2026

Who we are

Sempass (British Columbia, Canada) is hiring Campus Coordinators in Vancouver, Toronto and Montreal. This notice explains how we handle your personal information when you apply.

Who to contact

Claire Dubois, Founder, is responsible for the protection of personal information at Sempass. Contact: privacy@sempass.club

What we collect

  • What you give us in your application: name, email, phone number, city, availability on the session dates, whether you are legally entitled to work in Canada (yes/no), your answers to our questions and, if you choose to add one, your CV.
  • What we note during hiring: interview notes and role-play scores.
  • If you apply through Indeed or LinkedIn, the information you share there is passed to us. Those platforms' own privacy policies also apply.

We do not ask for your social insurance number, ID documents or study-permit copy during the application. If we make you an offer, we'll ask for what is legally needed to employ you at that point.

Why we collect it

Only to assess your application, contact you about the role, and, if you agree, contact you about future Sempass roles.

Where it is stored and who sees it

Your information is stored with our service providers Supabase (servers in the United States) and Google Workspace (email), so it may be stored and processed outside Quebec and outside Canada. Only the Sempass founder involved in hiring can access it. Accounts are access-restricted and protected with two-step verification. We do not sell your information, and we do not use automated decision-making to assess applications.

How long we keep it

  • If you are not hired: 12 months after our decision, then it is deleted. This lets us contact you for future cycles if you agree. You can ask us to delete it sooner.
  • If you are hired: your information becomes part of your employee file and is kept as long as employment and tax laws require.

Your rights

You can ask to see or correct your information, or withdraw your application and your consent at any time, by emailing privacy@sempass.club. Withdrawing means we can no longer consider your application. If you're not satisfied with our answer, you can contact the privacy regulator in your province: in Quebec, the Commission d'accès à l'information; in BC, the Office of the Information and Privacy Commissioner; in other provinces, including Ontario, the Office of the Privacy Commissioner of Canada.

Consent

By applying, you agree to us handling your information as described here.
